Terms
Last updated 25 October 2026
These terms are the agreement between your business and Nei Shot WebX Solutions, Windhoek, Namibia ("we"), for using StayCore. By starting a trial or a plan you accept them on behalf of your business. We have kept them short and plain; where a point still needs a lawyer's confirmation it carries a to be confirmed note.
The service
StayCore is booking and property management software used in a web browser and as an app on phones, tablets and computers. What a property can use depends on its plan and the add-ons it switches on. Turning an add-on off hides it but keeps its data, so turning it back on restores everything.
We aim to keep StayCore running at all times and announce planned maintenance in advance, but we cannot promise it will never be interrupted. Help is available on WhatsApp (+264 81 000 0000) and at hello@neishot.com.
Trial, plans and billing
- Every plan starts with a 30-day free trial. There is no setup fee.
- Plans are priced a month in Namibian dollars, excluding VAT, as shown on the pricing page. Paying for a year takes 10% off.
- Some things are charged as they are used: WhatsApp conversation fees (passed on at cost) and SMS. Card and mobile money fees are charged by your own payment gateway, not by us.
- We take no commission on your bookings.
- Operator accounts on the Exchange are free.
- We will give you notice by email before a price change affects you. The length of that notice is to be confirmed.
Your guests' money
Each property connects its own merchant account with its own payment gateway. Guest payments go straight into that account; StayCore never receives or holds them. Your agreement with your gateway (its fees, payout times, refunds and chargebacks) is between you and the gateway. StayCore never stores card numbers and has no screen for typing them in.
What you are responsible for
- Keeping your account details correct, and deciding who on your team may sign in and with what role.
- Having the right to keep the guest details you put into StayCore, and answering your guests' requests about them (we will help).
- Your registration with the Namibia Tourism Board and your other licences.
- Checking and submitting your returns. StayCore works out the 2% tourism levy and prepares the monthly NTB return from your bookings, but you submit it and remain responsible for it. The same goes for VAT.
- Keeping the devices that run StayCore locked and secure.
- Not using StayCore for anything unlawful, for sending messages people did not agree to receive, or to try to reach other businesses' data.
Hosts not yet registered with the NTB
Taking paying guests without NTB registration is an offence under the Namibia Tourism Board Act. StayCore helps unregistered hosts register: a checklist per unit, document upload, fees and status tracking, and reminders. This help runs for a set registration window (proposed at 90 days; to be confirmed). After the window, a unit that is still unregistered keeps its private calendar, cleaning and guest tools, but loses its public booking page and its Exchange listing until its NTB number is captured.
The Operator Exchange
On the Exchange a property shows its availability and rates to tour operators it has approved. Each booking made through it is an agreement between the property and the operator, on the property's terms; we are not a party to it. An option hold expires on the date set for it and the rooms are released automatically unless the operator confirms in time. Operators should not rely on a hold after it has expired.
Booking sites, offline use and sync
- Calendar links (iCal) to booking sites are read by those sites on their own schedule and can run behind. StayCore shows this warning; keep it in mind when you sell your last rooms.
- Live sync with booking sites runs through a channel partner. We are not responsible for delays or errors on the booking sites themselves.
- When StayCore works offline, changes are saved on the device and sent when the connection returns. A change that would double-book a room is never saved over another booking; it is put in a list for you to decide. Please check that list when it shows something.
Your data
Your business's data belongs to your business. You can ask us for an export at any time, including when you leave. How we handle personal data is set out on the privacy page.
Ending, liability and changes
- There is no lock-in. You can stop your plan at any time; it ends at the end of the period you have paid for. Whether any part of a yearly payment is refunded when you stop early is to be confirmed.
- We may suspend an account that is not paid, or that is used in breach of these terms, after telling the account owner.
- The limit of our liability to you is to be confirmed after legal review.
- We may update these terms. If a change matters, we will tell account owners by email before it takes effect.
- These terms are governed by the laws of the Republic of Namibia.
